Help with eMail Setup and Over Quota

eMail account types differ in how e-mail messages are saved and synchronized with the e-mail server. For example, by default POP3 e-mail accounts delete e-mail messages from the e-mail server when downloaded into Outlook. However, you can customize how e-mail messages are retrieved and saved.

If you use a email client program your should insure that is configured to remove email from the serve when it is down loaded. If you leave email on the server it will soon accumulate and fill your email box and cause you to go over quota.

To configure your POP mail client to NOT leave a copy of your messages, follow these steps:

Microsoft Outlook 2007

1.) Click Tools
2.) Click Accounts settings
3.) Double-click your domain pop account
4.) Click the "More Settings" button
5.) Click Advanced Tab
6.) Verify that Leave a Copy of Messages on the Server is unchecked

Microsoft Outlook 2002 (XP) and 2003

1.) Click Tools
2.) Click Email Accounts
3.) Click View or Change Existing Email Accounts and click Next
4.) Double-click your domain pop account
5.) Click the More Settings button
6.) Click the Advanced tab
7.) Verify that 'Leave a Copy of Messages of Server' is unchecked

Mozilla Thunderbird

1.) Click Tools
2.) Click Account Settings
3.) Click Server Settings underneath your domain pop account
4.) Verify that 'Leave messages on server' is unchecked in the server settings section

Apple Mail

1.) Click Mail
2.) Click Preferences
3.) Click your domain pop account
4.) Click the Advanced button
5.) Verify that 'Remove copy from server after retrieving a message' is CHECKED.

Microsoft Entourage

1.) Click Tools
2.) Click Accounts
3.) Double-click your domain pop account
4.) Click the Options button
5.) Verify that 'Leave a copy of each message on the server' is unchecked

Other e-mail accounts, such as an Exchange Server e-mail account, save all e-mail messages on the e-mail server by default. You can configure an Exchange Server e-mail account to keep a copy of e-mail messages on your computer that allows you to read e-mail messages when not connected to the Exchange Server.
